External Sharing is a frictionless way to give anyone outside Salesforce a read-only view of a Project - no login, no credentials, just a link. It's the anonymous counterpart to Customer Workspace: where Customer Workspace authenticates a specific person, External Sharing trades that authentication away for zero-friction access.

How External Sharing Works

Projects with External Sharing enabled generate a unique public URL that can be sent to anyone and grants the viewer read-only access to the Project. The viewer isn't required to log in with a username or password. Anyone with the link can view the shared Project and its Tasks (only those marked as Shared with Customer), and view your shared notes within their details, but can't edit or complete Tasks.

Considerations Before Enabling External Sharing

External Sharing is not enabled by default and must be set up by a Salesforce Admin. Please read the following before enabling it:

• External Sharing requires ONE full Precursive Licence to be assigned to a "Site Guest User."
• External Sharing enables external access to your Projects, Phases, Insights, Health, Milestones, and Tasks. This introduces a potential risk of external users accessing Task information. Only share this link on a need basis and with trusted users.
• Any default list-view component left on an object's list page (for example, a Projects list page) can allow a visitor to navigate back to it and see every Project you've shared externally - not just the one they were sent. These components should be removed as part of your External Sharing setup. Related record lists on an individual Project or Phase page aren't affected and can remain.
• Enabling External Sharing is done entirely at your own risk. If you're unsure, discuss this within your organization first.
• If security matters more than convenience for a given use case, Customer Workspace is almost always the better fit - it trades the zero-login convenience for authenticated, scoped access.

Blocking Search Indexing

To prevent search engines like Google from indexing your External Sharing site and making shared project links discoverable in search results, add a noindex directive to the site's head markup:

1. Go to Setup > Digital Experiences > All Sites
2. From the list of sites, select Builder next to the External Sharing site
3. From Experience Builder, go to Settings > Advanced > Edit Head Markup
4. Paste the following: <meta name="robots" content="noindex, nofollow">
5. Publish the site
