Once connected, an AI assistant can read from and act on Precursive on your behalf through a fixed set of tools. This article describes what those tools let the assistant do, grouped by the kind of work you do, and what the assistant will not do.

Find and understand your work

Ask about your Projects, people, and time in plain language, and the assistant answers from the records you can see in Precursive.

Object	Action	Sample prompt
Projects	Search for Projects by name, account, status or dates, and see the full detail of one: its Phases, who is on each Phase, Milestones and Budgets.	Which Projects are in delivery for this account, and who is on them?
Resources	Find people by name, Role, Team, Region or skill, and see their rates, promotions and skills where you have access.	Who in the Consultant role has availability in October?
Tasks	List Tasks for a Project, Phase or person, with Contributors, checklists, dependencies and sub-tasks.	Show me my open tasks. What is blocking the data migration task?
Bookings and utilization	See who is booked where, and get utilization and availability by week for a person, a Team or a date range.	What is my Team's utilization for the next eight weeks?
Timesheets	Read a Timesheet and its entries.	What did I log last week?

Plan and staff Projects

Set up the structure of a Project, then decide who works on it and when.

Action	Explanation
Set up Projects and Phases	Create a Project or Phase, or update its details, such as dates, status, and description. The assistant picks a Project Category so its defaults apply, such as the Rate Card and resourcing mode, and asks which record type to use if your org has more than one.
Track Phase Milestones	Add milestones to a Phase and update them as dates move or milestones are met.
Add people to Phases	Assign Resources as Participants, or leave a Resource Request placeholder for a Role you have not filled yet.
Create and change Bookings	On Booking-based Phases, create Bookings for existing Participants and change their dates, hours or days. Precursive sizes and validates each Booking exactly as it would in the Resource Plan, and recalculates availability.
Move work between people	Reassign Bookings from one Resource to another, and delete Bookings that are no longer needed, where Precursive allows it.
Find the best fit	On Task-based Phases, ask for the best-matched Resources for the open Tasks, using the same scoring as Magic Assign, then commit the assignments.

Manage Tasks

Build out the Tasks on a Phase, decide who works on each one, and keep them organized as the work moves.

Action	Explanation
Create and update Tasks	Add Tasks to a Phase, and change their name, dates, description, or List. Planned hours come from the Contributors on the Task, so set them by assigning Contributors.
Organize Lists	Create and rename the Lists that group Tasks, such as the status columns on a Kanban board.
Break down and sequence Tasks	Add Checklist Items to a Task and mark them complete, and link Tasks with Task Dependencies so one follows another.
Set the skills a Task needs	Add Skill Requirements to a Task. Best-fit matching uses them to score Resources.
Import Task Templates	Import them into a Phase. Large imports run in the background, and the assistant can tell you when they have completed.
Assign Contributors	Add Contributors to Tasks with planned hours. If someone is already on the Task, their hours are added rather than duplicated.
Change the Task owner	Reassign a Task in one instruction. The previous owner is stepped down automatically.

Log, submit, and approve time

Record your time and move Timesheets through approval from the assistant.

Action	Explanation
Log time	Record it against a Phase, Task or Task Category. If you have no Timesheet for that week yet, one is created for you.
Submit your Timesheet	Send it for approval when it is in Planned status.
Approve or reject Timesheets	Process the Timesheets that await your approval as their approver, one at a time or in a batch.

Keep figures up to date

Precursive recalculates some figures in the background, so ask the assistant to refresh them after you make changes.

Action	Explanation
Add and update Project Budgets	Create Project Budget lines and change their amounts, then refresh the rollups.
Refresh Project Budgets	Update the rollups so they reflect the latest Bookings and time.
Recalculate utilization	Update the figures for a date range after a round of planning changes.
Check on background jobs	Imports, recalculations and large budget refreshes return a job reference. The assistant can report progress and tell you when the figures are ready to read.

Track Project health and risks

Ask the assistant how a Project is going, and record what the team learns along the way.

Action	Explanation
Record Insights	Log a Risk, Issue, or Outcome against a Project or Phase, and update it as the situation changes.
Check Project health	Read the latest Health Rating of a Project or Phase, its history, and the agreed next steps. The assistant does not create or change Health Ratings, so record a new rating in Precursive.

Maintain Resources and rates

Keep the people and rates that drive planning and costing up to date.

Action	Explanation
Update Resources	Create Resources and change their details, such as Role, Team, Region, hours per day, and rates.
Manage Roles and Rate Cards	Create and update Roles, Rate Cards, and Rate Card Roles. Give a daily or an hourly figure and the assistant saves both, using the hours per day of your org.

What the assistant will not do

The assistant follows the same rules as the Precursive screens, so some requests are out of its reach.

Action	Explanation
Cover every part of Precursive	The assistant creates and changes only the records described in this article. Other records, such as Health Ratings, Project Milestones, Task Milestones, Teams, Regions, Skills, Time Codes, Expenses, holiday and leave requests, and invoices, can be looked up where you have access but not created or changed. Handle those in Precursive as usual.
Go beyond your permissions	Every action runs under your own account. A change you could not make in Precursive fails with a message and nothing is changed.
Invent values	If you ask for a status or category that does not exist, the assistant tells you the allowed values or asks you to choose, rather than saving free text.
Delete freely	There is no general delete. Only Bookings can be deleted, only where Precursive allows it, and Bookings driven by Tasks cannot be deleted through an assistant.
Approve someone else's queue	If you are not the approver of a Timesheet, you get a warning and the Timesheet stays as it was.
Skip the approval flow	A Rejected or Approved Timesheet cannot be moved directly back to Submitted. Recall it in Precursive first, then ask the assistant to submit it.
Write calculated figures	Availability, Utilization, Precursive-owned rollups such as Phase budget hours or Task planned hours, and org-currency twin fields are read-only to the assistant because Precursive recalculates them.
Change Project Categories	The assistant picks from your existing Project Categories. Ask your admin to set up a new one in Precursive.
Recall a Timesheet	There is no recall tool yet, so recall in Precursive before resubmitting.

How your data stays safe

These safeguards apply to every request the assistant makes on your behalf.

• The assistant creates and changes only the kinds of record described in this article, and your own Salesforce permissions always set the outer limit.
• Every request runs under your own Salesforce login. Sharing rules, object permissions and field-level security are enforced on every call. There is no shared service account and no elevated access.
• Writes are either all-or-nothing, or return one result per record, so the assistant can report exactly what succeeded and what did not.
• After creating a record, the assistant is asked to read it back and confirm what was saved, so an absence of errors is not treated as success.
• Amounts are shown in the Project's currency with the org currency alongside, so totals are not added across mixed currencies.
