About

From Precursive OBX v.17 upwards, you can use Milestones and Milestone Measures to track the time spent between the completion of key Tasks. These can be created and defined in the Precursive Milestones Tab and then assigned to the relevant Tasks when creating a Task template or manually on the Precursive OBX Tab. These are the steps you would need to take:
  1. Create the relevant Precursive Milestones
  2. Define a Milestone Measures you want to track progress on
  3. Assign your Milestones to the relevant Tasks on a Board or via a Task Template
Please watch this Feature Focus Video: Milestones in Precursive OBX for a visual guide of these 3 steps.

How to Define Precursive Milestones and Milestone Measures

Let's walk through the 3 steps above.

1. Create a Precursive Milestone

Examples of Milestones are 'KickOff', 'GoLive', 'Training Complete', 'Launch Complete', 'First Value'. Follow the instructions below to create them:
  1. Go to Precursive OBX application and open Precursive Milestones tab.
  2. Click New in the right top corner to add Precursive Milestone.
  3. Fill the modal form and click Save button:
  • Milestone Name [required] -
  • Active [default checked] - making this option checked will make this Milestone available to pick up on Task
  • Visible in Community [default unchecked] - making this option enabled will make Tasks marked as Milestones visible for your customers
  • Owner - read-only.

2. Define a Milestone Measure

Examples of Milestone Measure are 'Time to Value', 'Time to Lauch', 'Time to GoLive'.

To set up Milestone Measures, follow the instructions below:

  1. From the Precursive Milestone Tab, click and open the Milestone you want to track the time to (i.e. 'GoLive', 'Launch Complete')
  2. Switch from Details to Related tab on the object and click the New button.Milestone Measures.png
  3. Fill the modal form and click the Save button:
  • Measure Name [required] - the name of the measure you want to track
  • Active [default checked] - making this option checked will make this Milestone Measure available
  • Milestone - information to which Milestone, Milestone Measure object is related
  • Target (Days) - provide a target for your Milestone Measure
  • Start Date section - there are two ways to select a Start Date to start tracking your Time to Value or any other Milestone:
    • you can use the Start Date field by adding a field API Reference. This way is recommended if you want to track your Milestone Progress between any field that certain Board has access to (i.e. Opportunity Closed Won Date that can be seen internally as official project start date) and Task Completion date to which certain Milestone is linked. So in case you would like to measure the duration between Opportunity Closed Won Date and GoLive Milestone all you have to do is to provide respective field API Reference name into Start Date.
    • you can use the Start Milestone and track the time between Start Date of the Task to which that Milestone is assigned, until the Complete Date of the Task to which the Milestone you are creating the Measure for is assigned. So in this case if you want to track the duration between start date of Kick Off Task that is linked with KickOff Milestone and GoLive Milestone all you have to do is to select KickOff Milestone in Start Milestone lookup.

3. Assign Milestones to Precursive Tasks

Milestones can be assigned to Tasks:
  1. Manually - please see How to Manually Assign a Milestone to a Task
  2. On a Task Template - please see Task Template Cheat Sheet to learn how

Measuring Milestones’ Progress

Once the Tasks to which a Milestone has been assigned gets completed, you can start tracking the Milestone Progress. You can navigate to Precursive Boards Tab and open the Board you want to check. In the Related Tab, your will find a section called "Milestone Progress". There you will find calculations for each of the Measures set up in your org.

Note - If you don't see the Milestone Progress Related List from a Board record:

  1. Go to Setup >> Object Manager >> Find 'Precursive Board'
  2. Go to Page Layouts and open Taskfeed Board Layout

Find the Milestone Progress in the Related List section and drag-drop into the Related Lists area on the layout.

Click on the Progress Name to see all the details associated with it, including the associated Milestone, Milestone Measure, Milestone Task (the Task to which the Milestone has been assigned), the Target (Days), and the Progress (Days). Both the Target and Progress are in working Days so you can track how your project is progressing versus the given Target.

Tracking Time-to-Value

You can also track your Progress and keep track of your TTV using Salesforce reporting. Install the OBX Reports & Dashboard pack and gain access to the 'Customer Onboarding 360' Dashboard. That gives you an overview of:

  • Average TTV by board type
  • Milestone duration for each quarter
  • Forecasted VS Actual TTV
