Precursive AI Insights is licensed based on usage tiers. Each tier defines limits on the number of Insight Templates you can create and the number of records processed per insight run.

There is no per-user fee. Insights can be distributed to any number of users defined as recipients on the Insight Templates. All users with the Precursive AI Insights User permission set can view insights on record pages via the Precursive AI Component and refresh insights on demand.

Active Insight Templates

An Insight Template represents a single use case that defines what type of AI-generated insight will be produced. Each use case you want to automate requires its own Insight Template.

Planning considerations:

• Think about the breadth of use cases you want to cover across Sales, Services, and Customer Success
• Each department may need multiple Insight Templates for different purposes

Examples:

A Services team, for example, might want one Insight Template to summarize Projects and another to summarize Opportunities with Services attached - that would count as two Active Insight Templates.

Records per Insight

Defines how many Salesforce records are processed for each insight run. A "record" could be an Opportunity, Project, Account, Case, or any other Salesforce object, depending on what the Insight Template is configured to analyze.

How it works:

• Each time an Insight Template runs (scheduled or manual), it queries matching records
• The tier limit defines the maximum number of source records that will be sent to the AI for analysis
• If your volume exceeds the tier limit, records beyond the cap will not be processed

Important: This limit applies to the number of source records (e.g., Opportunities, Projects), not the context data gathered for each record. A single source record can include context from hundreds of related records via Rules and Context Sources. For example, one Opportunity insight might pull in 50 related Tasks, 20 Events, and 10 Contacts - all of this context is included for that single record.

Examples:

Context Size Limit

While there's no limit on how many related records can be pulled into context via Rules and Context Sources, there is a maximum context size of 400,000 tokens per Insight Result. This limit includes all context data and field values gathered for a single source record.

This limit is very generous and would rarely be encountered through typical use. It would require an unusually large amount of related data (such as thousands of activities or very long text fields) to approach this threshold.

What Happens When You Exceed Limits

Exceeding Records per Insight

If your matching records exceed the tier limit:

1. Records up to the limit are processed normally
2. Records beyond the limit are excluded from that run
3. Excluded records appear in the Insight Execution with a status of "Failed – Limit"
4. The Insight Execution clearly indicates which records were excluded and why

Example: On a tier with 200 records per insight, if you have 201 active projects matching your filter criteria, 200 projects will be summarized and 1 project will be excluded with a "Failed – Limit" status.

Managing Record Volume

If you frequently exceed your records per insight limit, consider:

• Tightening filter criteria - Use the Source Record Filter Criteria field to focus on higher-priority records
• Using "Filter Recent Changes Only" - Only process records modified in the last 7 days
• Creating multiple targeted templates - Split a broad template into narrower, more focused ones
• Upgrading your tier - Contact Precursive to discuss higher tier options

Checking Your Usage

Viewing Active Insight Templates

1. Go to the App Launcher in Salesforce
2. Search for Insight Templates
3. Create a list view filtered by Active = True to see your active templates
4. Compare the count against your tier limit

Reviewing Record Counts

Before enabling an Insight Template:

1. Navigate to the Insight Template record
2. Click the Validate Filter action
3. Review the total count of matching records
4. Compare against your Records per Insight limit

You can create additional Insight Templates, but only the number allowed by your tier can be Active at any time. You can deactivate one template to activate another if needed.

What happens to records excluded due to limits?

Excluded records are not processed in that run. They will be eligible for processing in the next run if they still match the filter criteria and fall within the limit. Records are typically processed in the order returned by Salesforce.

Can I prioritize which records are processed first?

The order of processing depends on your filter criteria and Salesforce's default query ordering. To ensure specific records are processed, consider:

• Adding filter criteria that narrows to your priority records
• Creating a separate Insight Template for high-priority records

Does "Filter Recent Changes Only" count against my limit?

Yes, but it typically reduces your total matching records significantly. By only processing records modified in the last 7 days, you're likely to stay well within your tier limit while still capturing meaningful changes.

How do I know if I need a higher tier?

Signs you may need a higher tier:

• You regularly see "Failed – Limit" statuses on Insight Results
• You want to create more Insight Templates but have reached your Active limit
• You're frequently adjusting filters to stay within limits rather than capturing all relevant records
