It's possible to build an automation that creates a Project when an Opportunity reaches a certain stage - 80% probability or more. The automation tells the system when to create a new Project, whether that is a single- or multiple-phase project and what Project Category to use to build the details of each Phase. Create a Project manually 1. Create a Project From the top-level Projects tab, select NewDefine the following information Project Name [required]Account - link the Project to a customer AccountStart / End DateSingle Phase - check this box if you want to create a Single-Phase ProjectCategory - select a Project Category to define the Project delivery method NB: If you do not select a Project Category, you can add details in the Phase's Details tab, and attach Templates in the Phase's Related tab. 2. Add Project Phases You can add new Phases from the Project record by clicking New Phase. Each Phase can have its own delivery method; either defined by the Project Category, or manually in the Phase. Tip: Going from Single- to Multi-Phase is easy. To change a Multi-Phase Project to Single-Phase you must delete your phases - remember, if there are scheduled Bookings or submitted Timesheets against some phases, you won’t be able to delete them. Cloning a Project Template from an Opportunity Cloning a project in your project management software can be a great way to save time and effort when starting a new project. You can clone a Project Template directly from an Opportunity. You can decide what information should be copied into the new project (Phases, Activity Categories, Participants, Bookings, Assigned Resources and Expense Categories) and quickly build your baseline. This can be particularly useful when working on similar projects or when using a consistent project structure.Note - If when you follow the steps below you can't see any template to select, please reach out to your internal Precursive or Salesforce Admin. This functionality needs to be configured and Project Templates need to be created by them first. Please see Configure Precursive Projects Cloning Functionality and Create a Project Template for more information. Project cloning prerequisites Project, Phase and Participant cloning features require the separate Precursive Template package to be installed on your org.If this package is not installed, please reach out to the Precursive Support team for a link to the most-recent version before attempting to follow the rest of this article. How to Clone a Project Template from an Opportunity Navigate to the Opportunity you want to create a Project forClick on the 'Clone Project Template' button on the Opportunity headerSelect the relevant Template from the list available to you (that may differ from the list in the picture below) and click 'Next'Edit the Fields that are available to you in the following window (that may differ from the list in the picture below) as you see fit for the new Project and click 'Next'Select what Records related to the Template Project should be cloned (again, you may have less options to select from than displayed below - that's totally fine: just select what is relevant for you) and click 'Next'Click 'Start Cloning' - Do not close the page until the process is complete!Click 'Finish' As a result of this process, a new Precursive Project is created with the details you defined and selected related records. After the process is complete, you are redirected to this new Project record and you can make any edits and adjustment you see fit. Archive a Project Navigate to your ProjectFrom the Project Detail tab scroll down and choose EditUncheck the Active checkbox.Select Save Once the Active checkbox is unchecked the Project is Archived.An Archived Project will appear on Resource Plan if bookings from those projects fit in into the backward horizon. The Active checkbox can be used as a filter criteria in List Views and Reports.If you do not want the Actual Time to contribute to Utilization then you should Delete the Project. If you do not want the Planned time to contribute to Forecast Utilization then you should delete the future Bookings.Tip: Ask your System Admin to add a 'Cancelled' Status so you can identify the reason why the Project was Archived. What happens if you try to archive a Precursive Project when there are already resources booked to work on it? If time had been actually submitted against that project, that would need to be approved before archiving it. Otherwise you get an error message. You need to approve all submitted timesheets with time logged against the project.However, if bookings have been created for this project, but no time has been submitted against it, you only get an error message if you're running a PSX version that is before 1.88. From version 1.88 onwards, any yet-to-be-approved timesheet line with 0 hours logged for a project, will automatically be approved if that project is archived. So you can archive a project directly without having to run the approval of unsubmitted timesheets with 0 hours logged.
