In this Cheatsheet you can find a description for each of the fields you can add to your List Template. For a step-by-step guide on List Template creation please see our learning path: Building a List Template.
 
Note - only users with Precursive Super Users permission sets can create and edit Task Templates in Precursive. Please check your License & Permission Sets Types.

List Template Cheat Sheet

Task & List Templates are created on a spreadsheet that is then uploaded in Precursive as a csv. file. 

The column headers on the spreadsheet of a List Template represent the fields you can add and define when you create or edit a Precursive List.

Download one of our List Template samples (Precursive Task & List Templates - Samples) and refer to the table below to build your spreadsheet.
  • Field Names define the names you should use for each column header
  • Description: here you can find information on how to fill each cell and the correct format to use
Note - Important! When creating a template source file, do not use commas (,) anywhere in the spreadsheet, since CSV type files read commas as commands to separate the values between rows and columns. Using commas in your source file will result in an error when uploading!
FIELD LABELDESCRIPTION
Name

That is the name of a List as it will be displayed on the Board.

Format: Text

Examples: Not Started, In Progress, Waiting, Complete, etc.

Order

In which the list will be displayed from left to right - first, second, third column (1,2,3,..)

Format: Number

Type
You can mark Lists as ‘Inactive’, ‘Active’ (Tasks dropped on this List will automatically marked as ‘Active’), ‘or ‘Complete’ (Tasks dropped on this List will automatically marked as ‘Complete’ and assigned a complete date).

Best practice - mark as ‘Inactive’ the List with Order =1, as ‘Active’ the ones in the middle and as ‘Complete’ the last one(s) to the right - named ‘Complete’ or ‘Did Not Happen’ for example.

Format: ‘Inactive’, ‘Active’ ‘or ‘Complete’
 
Background ColorYou can define the Background Color of the List by entering a specific Color Code (hex code value) or Web Color. You can use the same Color Code for all Lists, or you can specify a different color for each list.  

Format: Text

Examples: '#D2B4DE', '#A9CCE3', '#F9E79F', '#99BC08', 'Gray', 'Green', 'Teal'

Default

If set as TRUE, when a task is created for a Board and no List is selected, that will automatically appear on that List. Most commonly, the ‘Not Started’ list is makers as True and all the others as False.
A checkbox to Mark a List as Default

Format: TRUE or FALSE

Show Quick Create

That is the ‘Add Task’ action button that can appear at the bottom of a List when in Board view.

Best practice - mark this as TRUE for all the Lists on your Board but the ‘Complete’ one. No need to quickly add Tasks there.
Enable the "Quick Create" Task

Format: TRUE or FALSE

Show Archive

That enables the 'Archive' action button to manually archive a task within that List. If marked as True, the Archive button will appear on the Precursive Task in the Board view. When a Task is archived, it will be removed from the Board immediately but it will still appear in your reports.

Best Practice - we recommend archiving completed tasks to avoid storing unnecessary data volumes in Salesforce.

Enable Archive

If True, a Task will automatically get on a queue for Archiving when moved to that List. Designed for the "Complete" or final stage List.

Format: TRUE or FALSE

Archive After Days

You can enter a numeric value if you marked ‘Enable Archive’ as TRUE to delay archiving by a set number of Days. It can be particularly useful for a 'Complete' column where you may want Tasks to remain visible for a few days after they have been completed.

Format: Number

Force Ownership

If marked as TRUE, Tasks added to the List without an owner will be automatically allocated to the user who adds the Task. 

Format: TRUE or FALSE

Hide Tasks from Table View

If marked as TRUE, the Tasks will not be displayed in the Table view when in this List.

Format: TRUE or FALSE

Hide Tasks from Task Inbox

If marked as TRUE, that hides the Tasks in this List from the Task Inbox. This can be useful for final stage Lists or non-priority Lists.

Format: TRUE or FALSE

Hide Tasks From Plan View

If marked as TRUE, the Tasks within this List will not be shown in the Plan view. This also can be useful for final stage or non-priority Lists. 

Format: TRUE or FALSE

Internal OnlyMark this as TRUE if you don’t want a List to be displayed on the Board when that is shared via External Sharing. Tasks will also not de displayed when dropped into that List.
