Lesson Objectives
After completing this unit, you’ll have:
Lists & List Types
Now that you have created your Task Templates, you can start thinking about the most efficient way to organize your Tasks on a Board when running a project. For this you will need to create a List Template, the second core element of a Precrusive Board Type.
There is a lot that can be customized about the Precursive Lists, but there are 3 main features you should always include into your List Templates, as you can also find when adding a List to a Board manually:
Name - these usually reflect the statuses Tasks can be in through the deployment of a project (e.g. Not Started, In Progress, Waiting, Complete, Did Not Happen)
Order - in which you would like the Lists to display on a board from left to right
Type -
List Types represent the status that will be assigned to Tasks when moved to a certain List. For example, when Tasks are moved to a list that has been assigned the ‘Complete’ List Type, they will be automatically marked as Completed.
It is good practice to assign the Inactive List Type to the first list displayed on the left side of your project - that can work as a placeholder for your Tasks. You can then set as Active the different Lists that can host your Tasks once you have started working on them, such as lists called 'In Progress' or 'Waiting'. The last List on your Board could be set as ‘Complete’ so that all Tasks that are moved there are automatically marked as ‘Complete’.
How does this translate into a List Template? Like so:
Customizing your Lists
As mentioned above, there are many different ways you can customize our Lists further!
If you were to create a List Manually, your ‘Open Sesame!’ is the ‘Advanced Options’ button - here you can find all the different settings to customize your List.
To customize any of these fields in a List Template, you can add the Field Name as an additional column to your List Template and then fill them as instructed below:
Background Color
You can define the Background Color of your List by entering a specific Hex Color Code (a 6 digit number and/or letter combination preceded by the # symbol, e.g. #D2B4DE, #A9CCE3, #F9E79F, #99BC08, etc.).
If you are unsure of what Hex Code you need to use, you can search online for Hex Color code and choose the color that suits your needs. Copy the code with the # symbol and paste into your List template.
In addition you can use a Web Color name color in lieu of a HEX code. If using a Web Color Name (e.g. Gray, Black, Teal) be sure to check the color choices and be sure to double check spelling of the color name here:

Default
You can mark your List as Default or not by entering the values TRUE or FALSE in the relevant column of your List Template. Default Lists can be used to create Tasks via Salesforce Lightning Process Builder. Please ask your Salesforce Administrator for directions on this option.
Show Quick Create
This adds a Quick Create Task box at the bottom of your List. Again, you can enter the values TRUE or FALSE in the relevant column of your List Template to have this checkbox automatically ticked or not.
Force Ownership
When selected, Tasks added to the List without an owner will be automatically allocated to the user who adds the Task. Again, you can enter the values TRUE or FALSE in the relevant column of your List Template.
Zero Remaining Hours
When selected, any remaining hours on a Task will be set to zero automatically when moved to the relevant list. This is useful for an end state list, such as a 'Completed' list. You can enter the values TRUE or FALSE in the relevant column of your List Template.
Enable Archive
When selected, a Task will automatically get on a queue for Archiving when moved to the selected List. You can enter the values TRUE or FALSE in the relevant column of your List Template.
Archive after... days
You can enter a numeric value if you marked ‘Enable Archive’ as TRUE to delay archiving by a set number of Days. It can be particularly useful for a final state column where you may want Tasks to remain visible for a few days after they have been completed.
Hide Tasks from Table View
When selected the Tasks within this List will not be shown in the Table view. This can be useful for final stage or non-priority Lists. You can enter the values TRUE or FALSE in the relevant column of your List Template.
Hide Tasks from Plan View
When selected the Tasks within this List will not be shown in the Plan view. This also can be useful for final stage or non-priority Lists. You can enter the values TRUE or FALSE in the relevant column of your List Template.
Internal Only
When selected, it hides the List and its Tasks when the Board is shared via External Sharing. You can enter the values TRUE or FALSE in the relevant column of your List Template.
Final Review!
If you have used some of the most common customization options, your List Template should now look something like this:
